Office Manager - Zürich, Switzerland
We are looking for an experienced and talented Office Manager to join our team. Our Office Manager will play a pivotal role in managing day-to-day office operations, ensuring a well‑organized, safe, and engaging workplace. The role includes planning and executing corporate events, handling vendor negotiations, and ensuring seamless event logistics.
Your responsibilities:
- Executive Assistant of VP Software Engineering and User Experience.
- Administrative Oversight: Manage day-to-day office operations, including reception duties, correspondence, and managing office supplies. Working closely with HR for new onboarding and off boarding processes.
- Vendor and Supplier Management: Coordinate with suppliers for office equipment, services, and contracts (e.g., cleaning services, IT equipment, office furniture). Creating PR (Purchase requisition) and PO’s (Purchase order) on SAP, coordination with accounting for the invoices and closely working with Procurement team for new vendor onboarding processes.
- Audit & Quality Management: Joining to the Audits for Purchasing, vendor creation and onboarding processes. Process owner of the site management processesat Zetta25; Completion and training of relevant SOPs(Standard Operating Procedures).
- Budget Management: Oversee the office management budget, including expenses for supplies, office upgrades, and events.
- Event Planning and Travel Coordination: Lead the planning and execution of corporate events, such as conferences, workshops, team-building activities, and client events. Arrange travel, accommodation, and meeting logistics for executives, and guests.
Your profile:
- Vocational Education in Office Management or Business Administration or comparable educational degree
- 5+ years’ experience in office management in an international environment
Key Skills, Knowledge & Capabilities:
- Strong organizational skills
- Tactfulness and interpersonal skills, excellent communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable using other office software.
- Familiarity with ERP systems is necessary (familiarity with SAP is a plus)
- Business English Fluency (verbal and in writing) is a must. German is a plus.
- Handling sensitive information with a high level of confidentiality
