Functional Reporting policy was implemented by EPFL Direction to enhance the institution's fundraising efforts in a more coordinated manner across the institution. This policy aims to streamline prospect engagement, optimize donor cultivation and stewardship to ensure greater donor satisfaction, whilst ultimately maximizing fundraising outcomes. The Senior Liaison Coordinator will be responsible to implement this policy.
Main duties:
1. Relationship Management with Liaison Officers
- Develop and maintain strong working relationships with the institution's Liaison Officers (LOs) with regular meetings.
- Serve as the primary point of contact for all LOs, providing guidance, support, and ensuring alignment with organizational goals and procedures.
2. Onboarding and Training
- Oversee LO's onboarding process, provide them with the necessary information, tools, resources, and knowledge to perform their duties effectively.
- Provide ongoing training and support to LOs to ensure continuous improvement and alignment with best fundraising practices.
3. Coordination and Process Management
- Schedule and lead monthly meetings with each LO to review their prospect pipeline and ensure alignment with strategic goals.
- Organize and conduct bimestrial meetings with the LOs' network to discuss updates, challenges, and share best practices.
- Coordinate overall LO activities, ensuring effective, transversal collaboration and communication between LOs and the Philanthropy team.
- Ensure that any process related to LO roles, including CRM and activity reporting, is strictly followed and kept up to date.
- Act as primary interface between LOs and other central teams, including Legal, Finance, and Communications, to ensure seamless contractual processes.
4. Monitoring and Reporting
- Monitor the Los' activities, compiling monthly reports to track activities, analyze related information, identify challenges, and propose solutions.
- Ensure LO data input in CRM follows the procedures and guidelines.
- Report quarterly on LO related donor and prospect approaches.
5. Information Flow and Support
- Coordinate the flow of information between LOs and the wider Philanthropy team, ensuring that all stakeholders are informed and aligned.
- Provide additional support as needed to ensure the success of LO activities and the overall effectiveness of the Philanthropy team.
- Ensure LOs are regularly updated of any changes in EPFL's strategic initiatives that might affect their fundraising activities and coordinate their support to identify prospects.
6. Additional Duties
- Perform other duties as required by the Head of Donor Engagement/Philanthropy Manager and/or senior leadership, contributing to the overall success of the organization's philanthropic fundraising activities.
The ideal profile will demonstrate:
- University Degree (Master level) or equivalent level with an expertise in STEM related fields.
- Minimum 10 years of experience in project coordination with cross functional teams.
- Strong interest in research and innovation including in health and energy transition.
- Bilingual French - English, other languages a plus.
- Outstanding verbal and written communication skills.
- Experience in project management and relationship building.
- Strong leadership skills (in particular, good capacity to influence without authority).
- Strategic thinker.
- Proven ability to navigate within a multilayered, decentralized organization.
- Solid understanding of academic environment.
