We are looking for our Group’s headquarters in Châtel-St-Denis a highly organized, proactive, and resourceful
Main role:
As the Personal Assistant to 2 co-CEOs, you will play a pivotal role in ensuring the seamless execution of their day-to-day activities. Your responsibilities will encompass administrative support, preparation for Board and Executive Committee meetings, as well as interacting with external stakeholders, including customers, partners, legal counsel, and media representatives.
This position requires exceptional organizational and administrative expertise, excellent interpersonal and communication skills, and a proactive mindset. Flexibility, a high level of discretion, and a keen interest in leveraging AI tools are essential. Your ability to prioritize, multitask, and adapt in a fast-paced, ever-evolving environment will be critical to your success in this role.
Executive Support:
• Manage the co-CEOs calendars, appointments, and travel arrangements including conference calls, vacation and meetings with internal and external people
• Prepare and organize meetings, agendas, and action follow-ups
• Execute administrative tasks such as managing expense reports, email/letter correspondence, and other assignments
• Handle invoices and budget management, ensuring accuracy and timeliness
• Facilitate smooth communications between the CEOs and other directors, managers, and employees as well as external parties such as media and customers
• Support the organization of the company’s internal meetings and events
• Coordinate projects with other departments and external parties
• Handle confidential information with discretion
Shareholders, Boards, and Executive Committee Management:
• Coordinate schedules, communication and preparation for shareholder meetings, Board sessions, and Executive Committee activities.
• Prepare documentation, presentations, and minutes to ensure smooth and effective interactions.
• Prepare high-quality presentation content, reports, and supporting materials for these meetings.
• Document meeting minutes and follow up on action points
Regulatory and Legal Coordination :
• Maintain an overview of regulatory requirements and deadlines for the company with support from external lawyers.
• Collaborate with lawyers to ensure compliance and manage necessary documentation, especially regarding Intellectual Property matters.
• Follow up on regulatory tasks for legal entities across Europe, such as ensuring company extracts and other essential documents are up to date.
Technical Competencies:
• Fluent in English & French (German is a plus)
• Strong written and verbal communication skills, comfortable interacting with different people at all levels
• Excellent project management skills
• Excellent command of modern IT tools (Office 365) and ability to use actual AI tools
• Familiarity with regulatory frameworks and legal processes is an advantage.

• Ability to prioritize effectively and adapt to shifting work demands.
• Willingness to work flexible hours when needed.
• High sense of loyalty and confidentiality coupled with strong attention to detail and commitment to accuracy.

Qualifications :
• Proven experience supporting executives or senior leadership in a similar role for minimum 5 years.
• Bachelor’s in business administration, Executive Assistant Diploma, or an equivalent qualification
