We are seeking a highly organized and detail-oriented Executive Assistant to support our Chief Finance Officer (CFO) at 60%. The ideal candidate will possess strong budget management skills and the ability to handle a variety of administrative tasks with professionalism and discretion.
Our client is a non for profit organisation based in Geneva center.
Missions
- Calendar Management: Meticulously manage the CFO's calendar, ensuring no conflicts and prioritizing critical meetings. Coordinate with internal teams and external parties for seamless scheduling.
- Budget Management: Track and manage budget expenditures, ensuring alignment with financial plans. Prepare monthly financial reports and assist in budget forecasting.
- Document Preparation: Prepare agendas, reports, and other documents for meetings. Ensure all necessary materials are ready ahead of major meetings.
- Communication: Serve as the primary point of contact for the CFO, handling correspondence and communications with professionalism and confidentiality.
- Travel Coordination: Arrange travel accommodations, including flights, hotels, and transportation. Prepare detailed itineraries and manage travel reimbursements.
- Project Support: Assist in the coordination and execution of various projects, ensuring timely completion of tasks and effective communication among team members.
- Office Management: Maintain an organized and efficient office environment. Manage office supplies and ensure the office remains tidy and functional.
- HR Support: Assist with onboarding and off-boarding processes, including coordinating with HR for necessary documentation and equipment setup.
Profil du candidat
- Bachelor's degree or equivalent experience.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong budget management skills and experience with financial reporting.
- Excellent organizational and multitasking abilities.
- Fluency in English and good command of French (at least writing).
- Strong communication and interpersonal skills.
- Ability to work independently and handle confidential information with discretion.
