We are looking for an Office & Facility Assistant for a 100% temporary 6-month contract.
Our client is a financial firm based in Geneva.
Missions
The Office & Facility Assistant is responsible for the administrative and operational management of the office. Key responsibilities include:
- Reception and Administrative Support: Greet visitors, handle phone calls, process incoming and outgoing mail, and manage administrative documents.
- Meeting and Event Coordination: Assist in organizing meetings and events, manage scheduling, and handle logistics such as room setup and equipment.
- Facility Support: Assist in coordinating service providers, monitor facility maintenance, and help manage office layout and space planning.
- Health and Safety Assistance: Support in ensuring compliance with health and safety regulations, report any issues, and assist in implementing safety protocols.
- Cost and Supply Management: Help track office supply inventories, place orders, and assist in monitoring budgets for office and facility needs.
Profil du candidat
- At least 5 years of experience in Office Management
- Experience in modern, dynamic work environments
- Fluency in French and English (C1-C2 level)
- Calm, discreet, and able to manage multiple tasks and responsibilities in a composed manner
- Strong attention to detail and rigor
- Positive attitude with excellent interpersonal skills and a strong customer service orientation
- Proactive, flexible, agile, and resourceful
- Proficient in MS Office
