The Executive Assistant will provide high-level administrative support to two members of the Executive Committee by handling information requests, performing clerical functions, managing personal tasks, and overseeing special projects. The ideal candidate is proactive, highly organized, and capable of managing multiple tasks simultaneously.
Key Responsibilities:
- Manage the Executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Coordinate meetings and events, including logistical arrangements, agenda preparation, and minute-taking.
- Liaise with internal and external stakeholders on behalf of the executives.
- Maintain confidential files and records.
- Assist with personal tasks as required by the executives.
- Perform other administrative duties as assigned.

Qualifications :
- At least 5-6 years of experience in C-level secretarial/administrative support or family office.
- Ability to maintain confidentiality and handle sensitive information.
- Fluent in French and English with B2 level in German
- Excellent interpersonal and verbal communication skills to handle senior stakeholders.
- Strong attention to detail and ability to multitask.
- Strong planning and time management skills.
- Ability to work independently, be well-organized, and remain calm under pressure.
- Resilient and meticulous in a fast-paced environment.
- Flexibility to adapt to changing priorities and work schedules.
- High school diploma or equivalent; a college degree is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
