Our client : An international NGO based in Geneva.
Description de l'offre
- Lead logistics for external events in Geneva and abroad, including conferences, board meetings, and receptions
- Oversee event budgets, ensuring events are delivered within budget and on time
- Conduct site inspections to select venues and arrange hotel bookings
- Negotiate cost-effective rates with suppliers (venues, hotels, catering, AV, transport, interpretation) and coordinate with them leading up to and during events
- Manage the invitation and registration process, working with marketing on creative designs, guest list coordination, and tracking responses
- Prepare badges, registration forms, vouchers, and conference packs
- Develop coordination tools such as critical paths, seating plans, and running orders for smooth event execution
- Serve as the main logistics contact on-site during events
- Coordinate the annual events calendar and maintain an internal information-sharing platform
- Serve as the main event focal point for departments, providing production guidance for their events
- Work with the Lead Marketing to source and organize branded materials for events
Profil
- Bachelor degree in Event Management, Communications, Marketing, Public Relations or related discipline
- Extensive experience in large-scale event production
- Proven track record in strong logistical and organizational skills
- Demonstrated excellence in both written and verbal communication
- Skilled in handling high-level interactions with diplomacy and professionalism
- Adaptable and effective in team environments, with the ability to manage multiple tasks and prioritize efficiently
- Experience in drafting and editing documents and presentations
- Proficient in IT, with advanced skills in Microsoft Outlook, Word, Excel, PowerPoint, and internet use
- Over 2-4 years of relevant experience in large-scale event production
- Experience working in international and/or executive-level environments
- An excellent knowledge of English and French. Knowledge of other languages would be an asset
