For our international medical partner, Roche Diagnostics Int Ltd. based in Rotkreuz, we are looking for a qualified and motivated Administrative Assistant 50-70% for one year with option for extension.
Tasks
- Manage software licenses for the team, ensuring timely renewals and updates
- Maintain distribution lists for effective communication
- Oversee the GSite and ensure organized team folder structures
- Manage document access and permissions to ensure security and compliance
- Implement document version control and archiving procedures
- Schedule meetings with internal and external stakeholders
- Coordinate internal/external workshops, training sessions, and team events
- Organize face-to-face (f2f) meetings, including venue scouting, logistics management, and on-site support
- Manage onboarding and offboarding processes for external employees in Rotkreuz
- Coordinate recruitment events and related administrative functions
- Oversee entry and exit processes for team members
- Manage training programs throughout our training tool, including report generation
- Manage purchase orders for external services
- Oversee consulting contracts, external services, and various offers
- Handle goods receipt postings and process electronic invoices efficiently
Must Haves
- Completed commercial training' or 'Commercial diploma (e.g. commercial apprenticeship or commercial college) or an equivalent qualification
- Min. 2-3 years experience in a similar position
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Proficiency in administrative tools (e.g. G-Suite)
- Strong interpersonal and communication skills
- Demonstrated ability to work independently with a high level of initiative
- Excellent organizational skills with a proven track record of driving efficiency
- Fluent in English in spoken and written
Nice to Haves
- Ability to support or even lead small projects, ensuring deadlines and deliverables are met.
- Familiarity with project management tools like Trello, or Monday.com to track progress and tasks
- Going beyond just booking logistics-ensuring events and meetings feel well-organized, seamless, and impactful
