The European Respiratory Society is an international organisation that brings together physicians, healthcare professionals, scientists and other experts working in respiratory medicine. We are one of the leading medical organisations in the respiratory field, with a growing membership representing over 160 countries worldwide.
We are seeking a highly organized and proactive Coordinator to ensure the smooth and successful conduct of our Clinical Practice Guidelines Task Forces from kick-off to publication approval. The ideal candidate will support Task Force Chairs in their day-to-day activities and collaborate closely with various stakeholders to guarantee the timely and accurate development of guidelines. You will report to the Director of Scientific Activities but will work in close collaboration with the Scientific Activities team.
Your role
- Ensure the smooth conduct of Task Forces throughout their life cycle.
- Support Task Force Chairs with daily activities, including maintaining member lists, managing document sharing platforms, and communicating with panel members.
- Organize and attend regular online and face-to-face Task Force meetings, including scheduling, preparing agendas and slides, taking minutes, and tracking participants.
- Monitor progress according to ERS Task Force timelines, tracking milestones and deliverables.
- Work closely with the Guidelines Project Manager and the ERS methodologists and report on delays and issues.
- Develop and maintain up-to-date Standard Operating Procedures for guideline production
Your profile
- Minimum 3 years of experience in project coordination or a related role in handling administrative tasks.
- Excellent verbal and written skills in English.
- At ease with usual Microsoft programmes (Teams, Excel, Word, SharePoint, Outlook, PowerPoint).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in document management and collaboration tools.
- Ability to work independently and as part of a team.
- Attention to detail and commitment to quality.
- Availability to travel at 4-5 per year including one week for ERS International Congress
