The Team Assistant will provide comprehensive administrative support to two Directors within the Technology department. The role requires a proactive individual who can handle a variety of tasks, manage multiple priorities, and facilitate smooth operations. This position is crucial in ensuring the Directors can focus on strategic initiatives by handling the day-to-day administrative responsibilities efficiently.

Missions

Administrative Support:
- Manage and organize the Directors' calendars, including scheduling meetings and appointments.
- Coordinate travel arrangements, including flights, accommodation, and transport.
- Prepare and process expense reports in a timely manner.

Meeting Coordination:
- Schedule, prepare, and distribute materials for meetings, including agendas and minutes.
- Ensure conference rooms and technology setups are prepared and functional for meetings.
- Follow up on action items and ensure timely completion.

Communication Management:
- Act as the point of contact between the Directors and internal/external stakeholders.
- Handle incoming correspondence, including emails and phone calls, and respond as appropriate.
- Draft, review, and edit correspondence, reports, and presentations.

Project Support:
- Assist in coordinating departmental projects, tracking timelines, and ensuring deliverables are met.
- Maintain project documentation and update relevant stakeholders on progress.
- Provide logistical support for team activities and events.

Office Management:
- Order and maintain office supplies and equipment for the team.
- Assist in the organization of team events and meetings.
- Ensure smooth communication and operations within the team and across departments.
Profil du candidat

Experience:
- Minimum of 3 years of experience in an administrative or assistant role, preferably within a technology or FMCG environment.
- Proven experience in supporting senior executives or directors is highly desirable.

Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- High level of discretion and confidentiality.
