The Commercial Excellence team is responsible for driving commercial excellence in supporting systems, processes and tools to ensure that the Commercial Products and Services (CPnS) team it is part of is able to conduct business with customers effectively and efficiently in terms of contracting, invoicing and collections. Essentially it performs the support and administrative functions of the commercial team. Within Commercial Excellence, the Contract Office is the single point of contact for CPnS in contractual matters.
The core responsibility of the Contract Officer is to
- perform the end-to-end back-office tasks for suppliers (PtP) or customers (OtC) for the CPnS Lines of Business and processes in scope.
- advise and train stakeholders on these processes.
In more detail the Contract Officer shall:
- be an OtC and PtP champion user (ie know all the relevant processes, FPM etc…)
- understand each LoB business needs and specific processes (and help document them for the Contract Office team where needed) so as to be able to advise and collect all approval requirements upfront based on various departments requirements (Compliance, Corporate Secretary (PoAs…), Finance, Insurance, Taxation, Treasury, Legal etc…) as per existing regulations (in particular IATA’s FPM).
- educate/train stakeholders on approval processes and their requirements.
- perform OtC activities timely from beginning to end on assigned contracts:
* contracting and billing in SAP
* following up on workflows in SAP
- perform PtP activities timely on assigned contracts.
- follow-up with stakeholders to ensure timely processing where needed (eg approvals etc…).
- manage the SAP-CPnS generic mailbox and the SalesForce CPnS Contract Office queue at https://iata.lightning.force.com/lightning/o/Case/list?filterName=00B5J00000157WzUAI . Keep all OtC stakeholders informed via SalesForce cases.
- document and share best practices with their peers and the relevant GPO.
- maintain a repository of documents customers frequently asked for (copy of statutes, taxation certificate, audited financial statements etc…)
- suggest improvements to simplify processes where possible.
- consult with the relevant GPO on unusual/very complex/new cases for advice when needed.
University degree in Business Administration or equivalent and minimum 3 years of work experience in back-office, operations or similar. Ability to work effectively in an international and multicultural fast-paced team environment.
Hands-on with a willingness to learn/figure things out. Persistent and positive can-do approach. Ability to work efficiently and effectively under pressure and meet deadlines. Strong sense of customer service, ownership and accountability. Self-motivated.
Proven organizational skills with the ability to handle multiple queries simultaneously while maintaining attention to detail. Good interpersonal and communication skills.
Excellent English skills (verbal & written), knowledge of other languages is an asset.
Highly computer literate, with experience and enthusiasm for the SAP ERP.
