Role Summary:
General reception and office management responsibilities, making sure our Sofia office is a safe, productive and pleasant place for colleagues and visitors. Assist the Real Estate Manager as necessary.
Job Scope/Supervision:
Reports to the Real Estate Manager. Interacts with all GTT employees in Sofia, internal and external visitors, Accounts Payable team, the Security team, Office Managers at other locations, Building Management team, and external contractors and suppliers.
Duties and Responsibilities:
· Reception duties to include welcoming and assisting colleagues and visitors
· Coordinate meeting room bookings
· Ensure security procedures are followed and manage keys, badges, parking
· Deal with incoming and outgoing mail and deliveries
· Procure and manage office related services (cleaning, refreshments, office supplies, minor works etc)
· Plan, coordinate and arrange company events such as Christmas parties, team building activities, charity events
· Be the first point of contact for the landlord’s Building Management team
· Assist with annual security audits and H&S inspections
· Provide admin support to the Real Estate Manager as necessary
· Assist Real Estate Manager in documenting and sharing best practice with all offices
· Take the lead in any office remodeling projects
Required Experience/Qualifications:
Excellent English
Highly numerate
Diploma of Secondary Education
Experience of working in a customer facing role.
Experience of office management
Desirable Experience/Qualifications:
Bachelor's degree in Business or Facilities Management related field
Experience of working in an international organization
Hours/Travel/Shift (Where Applicable):
Required to work usual office hours. Note: this role will be 100% office based.
Mon- Friday (9:00-17:30)
