Your role:
The Scientific Programme Assistant will support and strengthen the scientific programme team in organising, communicating, and managing invitations related to ERS events, including the ERS Congress, seminars, and conferences. This role also involves preparing for official meetings, conducting follow-ups, compiling reports, and attending ERS meetings when required. Additional administrative tasks related to event programming and attendance may also be part of the responsibilities.
Your Tasks:
- Assist in communicating with event/session organisers, chairs, and faculty, including confirming participation, sharing relevant information, collecting presentations, organising preparation sessions, and updating internal platforms.
- Organise, take minutes for, and follow up on internal/external meetings to ensure programme deliverables are met.
- Ensure the smooth preparation of relevant materials before events, provide on-site support when necessary, and manage post-event follow-ups, including participant surveys and reporting.
- Maintain and update relevant website pages.
- Collaborate with colleagues to coordinate logistical needs and organise meetings.
- Prepare statistical reports based on faculty, participant, and content data.
Your profile:
- Highly skilled in office administrative support, with proficiency in Microsoft programs (Excel, Word, Outlook, PowerPoint).
- Excellent verbal and written English skills; knowledge of other languages is an asset.
- Strong planning and organisational skills, with attention to detail, timelines, regulations, and deadlines.
- Eager to learn, proactive, a team player, enthusiastic, and capable of working independently.
- Experience in delivering small- to medium-sized events in an international environment is an asset.
- Swiss nationality or a valid work permit
