To complete our team, we are looking for an:
Administrative Associate (Sports)
Part-time: 25 hours over 40 weeks
Three positions available, one per campus: La Grande Boissière, Nations, and La Châtaigneraie. Please indicate in your cover letter if you have a preferred campus or if you are open to any of the three locations.
Key responsibilities (including, but not limited to):
- Coordination with the administrative assistant for attendance and registrations for ECA (Extra-Curricular Activities)
- Assistance in creating schedules and booking fields/rooms
- Assistance in planning ECAs for the following year (proposals)
- Coordination of weekly competitions, verification of registrations and coaches, invitation of additional students via the administrative assistant if necessary
- Conducting weekly observations
- Updating the substitute coach list in the database to cover absences due to competitions or illness with the help of the administrative assistant
- Reporting and tracking attendance/absences to Jeunesse et Sport with the administrative assistant
- Monitoring attendance and absences for tournaments and ECAs
- Assistance in the technical evaluation of coaches
- Monitoring coaches' technical objectives
- Purchasing trophies and medals, and preparing them before tournaments
- Assistance in creating tournament schedules and preparing materials
- Presence and setup of tournaments
- Assistance with projects such as the "sports celebration" and other events in collaboration with the PTA (Parent-Teacher Association)
- Regular feedback to the Sports Foundation lead
Candidate requirements:
- Degree or experience in administration, sports management, or event coordination.
- Strong organisational and coordination skills to manage schedules, registrations, and attendance tracking.
- Experience in event planning and logistics, particularly for sports tournaments and extracurricular activities.
- Attention to detail and accuracy in tracking attendance, reporting, and managing databases.
- Ability to multitask and work efficiently in a fast-paced environment.
- Excellent communication and teamwork skills to collaborate with coaches, students, and administrative staff.
- Proficiency in office software (Excel, database management, scheduling tools).
- Experience in purchasing and logistics for event materials (e.g., trophies, medals, equipment).
- Fluency in English and French (another language is a plus).
- Flexibility to work during events and tournaments, including occasional evenings or weekends.
