Fellowship Coordinator
The ETH AI Center is one of the largest university centers in the world for artificial intelligence with over 120 Professors from all 16 departments of ETH Zurich and over 1400 PhD students & 250 post-docs. Our purpose is to amplify human potential by fostering breakthrough ideas with interdisciplinary AI research and enabling the path from science to society. We strive to push the boundaries of AI research, foster innovation, and drive impactful projects.
Project background
The fellowship programs at the ETH AI Center aim to attract and support excellent doctoral and postdoctoral researchers working on topics including artificial intelligence foundations, theory, machine learning, computer vision, and robotics on large and small scales. These research fellows form a central community within the Center and drive a cross-disciplinary approach to solving research questions, as well as contributing to many Center activities. The ETH AI Center is involved in three main fellowship programs (including a strategic collaboration through the Max Planck ETH Center for Learning Systems) which provide candidates with unique collaboration and mobility options.
Job description
We are seeking a highly organized and detail-oriented Fellowship Coordinator to manage and support our fellowship programs. The ideal candidate will play a crucial role in the recruitment, administration, and overall success of the programs.
Key responsibilities:
- Coordinate all aspects of the fellowship program, including promotion, recruitment, application review, and selection processes.
- Work closely with fellows, faculty, selection committees, and industry partners to ensure they have everything they need to thrive.
- Organize orientations, training sessions, workshops, and networking events, both online and in person.
- Serve as the main point of contact for fellows, providing guidance and support throughout their fellowship.
- Maintain accurate fellowship records and generate reports.
- Handle communication and marketing efforts, including website updates and social media promotion.
- Work closely with other team members to support program operations, including effective financial planning, and ensure smooth coordination.
Profile
- A bachelor’s or master's degree in a relevant field or successfully completed training in a relevant field, commercial training, or a comparable qualification.
- 1+ years prior experience in a similar role with demonstrated success
- Strong interpersonal & communication skills, with the ability to effectively convey concepts to diverse stakeholders and follow up on discussions and actions
- Very good knowledge of English (German is a plus), both written and verbal
- Knowledge of standard software packages and the ability to quickly grasp the use of new tools and apps (airtable, recruitee, slack)
- Effectively prioritize your time based on needs, goals and, opportunities
- Excellent organizational skills and attention to detail
- Proven ability to work independently, take initiative, manage multiple workflows at the same time, and identify, analyze and solve problems
- High flexibility, and adaptability in a dynamic environment
