The GS is a dynamic and fast-growing business unit of EHL Hospitality Business School. It has a growing portfolio of diverse graduate level offers including degree programs, short programs, Executive Education, and training solutions for professionals and organizations. It is also home to research institutes including the Institute of Customer Experience Management, Institute of Business Creativity, Hospitality Real Estate & Finance Institute and, Institute of Nutrition R&D. The GS Executive Education Program Coordinator is responsible for planning, organizing, and coordinating all aspects of executive education programs (open to enroll and custom programs). This includes working closely with program faculty and instructors to develop curriculum, coordinating logistics for program delivery, and managing program budgets. This position may require some travel. The candidate should be able to work flexible working hours (at times outside of normal working hours) to support international clients' needs and to (or be looking to acquire) a good understanding of the executive education market.
What will you do?
- Coordinate logistics for program delivery, including scheduling, venue selection, and participant accommodations.
- Interact with all internal/external vendors and service providers.
- Handle the delivery of assigned programs, which may be virtual, residential or blended.
- Assign and coordinate classroom, AV and other facilities on behalf of program supporting both live and live-virtual program delivery and working with clients ahead of and on program days.
- Ensure adequate support during events and coordinates other technical aspects, including AV, video recordings, simultaneous translation and virtual sessions.
- Be responsible for effective program delivery using and improving upon established workflow and processes to support successful learner and client experience.
- Work with the program management team to ensure established workflow, work tools, and processes efficiently support program implementation and provide an optimal client experience.
- Provide administrative support to the program faculty including scheduling, travel arrangements, reimbursements, and related tasks.
- Gather and maintain data for and assists in preparing post-program review reports, using Google forms and other survey tools.
- Prepare statistics and reports on program participation.
- Manage program budgets and financials, including preparing invoices and monitoring expenses.
- Ensure compliance with all relevant regulations and policies.
Who you are?
- You have a bachelor’s degree in a business-related area.
- You have a minimum of 1 year of professional experience in program coordination and/or event organization and management.
- You are proactive, autonomous and eager to manage multiple projects simultaneously.
- You are service-oriented with a strong attention to detail.
- You have excellent communication and inter-personal skills in a business environment.
- You are a team player and have demonstrated ability to work with multicultural teams.
- You are familiar with MS Office.
- You have excellent command of English (C2), and ideally French.
