Summary:
As the Project Leader and Analyst, you will provide support to the Global Medical Affairs Acute Therapies team, acting with little supervision, anticipating needs while managing the day‐to‐day workflow and prioritizing various projects, which includes scheduling, contact management, preparing materials for meetings. The Project Leader and Analyst will perform, coordinate and oversee administrative duties while providing an extensive level of support. This will enable the Global Medical Affairs Acute Therapies team to work more efficiently and effectively towards reaching the organization’s growth goals.
The Job:
- Assume the role as the primary point of contact between the Global Healthcare Lead professionals and internal/external clients. Point of contact for extended team and support functions: facilitate communication, information flow, provide support as required.
- Arrange meetings and appointments and provide reminders as needed; maintain a master corporate calendar of all conferences, all-hands events, holidays, and vacations.
- Handle requests, feedback, and queries quickly and professionally.
- Maintain strong relationships with vendors and keep price data to get the best pricing on supplies and services.
- Handling the contracting and communication with the Healthcare Professionals.
- Collaborate with Ethics & Compliance and Medical Affairs Operations Depts on vendor agreements and SOWs
- Create POs, process invoices, ensure that payments are made in timely manner.
- Provide support to budget monitoring including tracking expenditures and providing reports.
- Provide Executive Assistant duties to the Acute Medical Lead: diary management, proactive management of complex travel arrangements, monitoring of upcoming deadlines and management of travel expenses.
- Coordinate internal schedule & activities: regular staff calls, regular calls with Regional Medical Affairs teams, review meetings, one on ones.
- Responsible for organizing internal and cross-functional meetings (Marketing, Regional Medical Affairs, etc.): coordinate calendars with stakeholders, determine best date/venue, manage hotel arrangements, venue organization, audio-visual equipment, catering, orchestrate team events, produce accurate briefing and agenda papers, meeting coordination, liaison with presenters to assemble full presentation, minute taking, and proactive driving of actions points. Ensure the smooth running of all events on site. Take minutes during meetings.
- Manage and regularly update department OneDrive documents for appropriate record of presentations/action items and best practices exchange. Use multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications. Use Internet, may include Sharepoint updating.
- Maintain and update Global and Regional Medical Affairs contact list, organizational charts, e-mail distribution lists.
- Carry out special projects on an as needed basis.
Who You are:
- Be in possession of an A-level standard of education and be proficient in Microsoft Office tools and computer systems. Preference may be given to applicants in possession of an A-level in Accounts or an equivalent diploma in Accounting or Administrative and Secretarial duties.
- Must possess a minimum of 2 years’ experience working in a similar role.
- The candidate must have excellent oral and written English communication skills to effectively and fluently communicate with high levels of the organization.
- Essential to be able to work independently and identify proactive solutions to complex situations.
- Should have demonstrated proficiency with Intranet and Internet applications and research.
- Must be able to handle and maintain highly confidential information.
