MISSION STATEMENT
- Providing high level of executive support to Product Supply organization and in particular ESO (External Supplier Operations) SRM ( Supplier Relationship Manager) team regarding Contract Management based on needs of requestor. Including Fiori upload, checking and altering the contracts, ensuring signature process and archiving (ensuring smooth procedure of contract life-cycle).
- Responsible for the planning, management, coordination, and control for multiple record management activities.
MAIN ACCOUNTABILITIES AND DUTIES
Contract management
- Uploading contracts to the Fiori including formal check of the contract; secure all necessary approvals and creation of internal overview.
- Requestors from HQ, Product Supply organization; ESO SRM, and other teams if needed.
- Preparation of the contract for the signature process and ensuring signature process both internally and externally based on possibilities to ensure timely and compliant execution.
- Participation in projects in order to respond in changing needs of supported departments (Product Supply organization and in particular ESO SRM team, legal, etc.) like changing of Contract database to meet all actual needs.
- Onboarding of new vendors/customers regarding creation of the contract.
- Miscellaneous requests including searching for contracts, confirmation of archiving, sending contract to the counterparts.
- Upload of missing legacy contracts in Fiori
- Maintaining the off-line contract database for ESO contracts
- Assisting contract administrators and colleagues from other affiliates; leading part-time support for archiving; checking the life process of each contract.
- The employee will perform other tasks under the direction of the Manager within the agreed type of work.
Record Management
- Leading CDA database for Legal department – uploading to Fiori and internal database
- Handover of all external services assuring their alignment with the budget, specification and the quality
- Communication with external RM services providers
- Proper documentation of all the above activities
- Meeting legal obligations for the creation and retention of paper and electronic records.
- Maintaining operational efficiency by controlling the volume of records created and stored
- Identifying those records to be preserved for historical and research purposes.
- Providing efficient access to the right information.
