About You
As the Executive Assistant Iberia in the International Family Care & Professional organization, you will provide administrative and organizational support to the Senior Director KCP EMEA, to the Country Manager Iberia and to the Senior HR Director EMEA, to ensure smooth functioning and efficiency in daily activities, making quick decisions and resolving operational problems with discretion and confidentiality.
You will report to the Senior Director KCP EMEA.
Location: we can offer a hybrid model (3 days on remote / 2 days per week at Madrid Office) for candidates already based in Madrid Area.
YOUR KEY ACCOUNTABILITIES:
1. Agenda Management:
-
Coordinate and manage the executives’ calendars, scheduling appointments, meetings, and events, ensuring optimal use of time.

Prioritize commitments according to their importance and urgency.
2. Meeting Preparation and Organization:
-
Organize internal and external meetings, including logistics preparation, agenda distribution, note-taking and minutes preparation.

Ensure the correct availability of rooms and necessary equipment.
3. Information and Documentation Management:
-
Filter and manage correspondence, emails and phone calls, ensuring discretion and confidentiality.

Prepare, review and archive documents, reports and presentations requested by the executives.
4. Internal and External Communication:
-
Be the point of contact between the executives and other departments or third parties.

Handle communication with clients, suppliers and other stakeholders in a professional and courteous manner.
5. Administrative Support Tasks:

Manage corporate travel: flight reservations, accommodation, transportation, and itinerary creation.

Make purchases, requests for materials, and coordination of special events.
6. Financial Tasks:
-
Manage expense reports and budgets related to executive activities.

Coordinate payments, billing, and petty cash administration when necessary.
7. Assistance in Special Projects:

Participate in the planning and monitoring of strategic and confidential projects at the request of the executives.

Conduct research and gather relevant information for decision-making.
WHAT WE NEED FROM YOU:
-
Technical or university degree in administration, executive secretarial or related fields.

Minimum 5 years of experience as an Executive Assistant or secretary at executive or managerial levels

Excellent time management and task prioritization ability. Ability to work under pressure and in dynamic environments.

High level of discretion and confidentiality.
-
Effective communication skills, both verbal and written.

Advanced knowledge of computer tools (Microsoft Office, video conferencing platforms, etc.).

Proactivity and Problem Solving: ability to anticipate the needs of the executive and to solve unexpected situations quickly and effectively

Fluent in English and Spanish
