Your mission
End-to-End Event Logistics
- Lead logistical planning and execution for a high volume of healthcare-related events and congresses.
- Lead a team or collaborate with event assistants and vendors to execute logistics efficiently, maintaining high standards and addressing any logistical needs proactively.
- Collaborate closely with vendors, venues, and internal teams to ensure each event’s logistical needs are met and aligned with client standards.
Process Management & Compliance
- Navigate client-specific processes efficiently, ensuring full compliance with internal policies and event regulations.
- Manage event registration, budget tracking, and procurement processes, including contract negotiation and invoicing.
- Conduct post-event reconciliations and reporting to ensure operational transparency and client satisfaction.
On-Site Event Coordination
- Provide on-site support for events, including vendor management, troubleshooting, and ensuring all logistics run smoothly.
- Travel frequently to support congresses and events globally, often working under tight timelines and high-pressure environments.
- Be the face of MCI on-site, ensuring our standards are upheld and client expectations are exceeded.
Stakeholder Communication & Reporting
- Maintain open communication channels with clients, vendors, and internal teams to keep everyone informed of project status and logistics.
- Regularly report on event logistics performance, feedback, and opportunities for improvement to streamline future events.
Your profile
- Experience: 5+ years in logistics or event management, preferably within healthcare, pharma, or similarly regulated industries.
- Travel Flexibility: Enthusiasm for frequent travel and a willingness to work on-site at events internationally.
- Process-Oriented: Comfortable working within a client’s structured processes and managing extensive documentation and compliance requirements.
- Stress Management: Proven ability to stay calm, prioritize effectively, and solve problems under pressure.
- Technical Skills: Proficiency in MS Office Suite and experience with event registration software like Cvent.
- Soft Skills: Strong communication skills, attention to detail, and adaptability in fast-moving environments.
- Language Proficiency: Fluency in English; additional languages, especially French and German are a plus.
