Description
- Manage ad hoc requests from C-Level executives based on priorities.
- Organize and coordinate schedules and travel arrangements (reservations, itineraries, schedule optimization).
- Prepare presentations, reports, and various documents.
- Ensure follow-up on administrative tasks and important deadlines.
- Manage expense reports and invoicing if necessary.
- Act as the primary point of contact for certain internal and external communications.
- Ensure a smooth flow of information between C-Level executives and teams.
- Manage the receptionist, ensure smooth operations, and provide support when needed.
- Be able to step in and replace the receptionist at short notice in case of emergency.
- Ensure that visitor reception and call management are always seamless and professional.
- Oversee the proper functioning of general services related to the reception area.
- Foster strong communication and collaboration with internal teams.
- Work in synergy with other assistants or administrative team members to optimize tasks.
- Serve as an effective information relay between C-Level executives and relevant employees.
- Contribute to a dynamic work environment by suggesting improvements and supporting the team as needed.
Profile
- Dynamic, strong stress resilience, interpersonal intelligence, flexibility, strong communication skills, pro activity, anticipation of needs.
- Minimum of 5 years of experience in a similar role.
- English C1, French C2.
