Workplace Strategy Lead

The Workplace Strategy Lead works to oversee the alignment of workplace operations and projects to strategic initiatives that support the business’ goals. The Workplace Strategy Lead reports into the Head of Workplace, Americas - this is a high visibility role that works cross-functionally with partners, the global workplace team, and leadership in other Americas BU locations including Bermuda, Canada and South America. This role requires a strategic thinker and team player who is skilled at planning and executing, building relationships, creative problem solving, and managing expectations and stakeholders across multiple objectives.

Key responsibilities of this role are:
· Workplace operations alignment and implementation
o Work with regional Workplace Partners to identify opportunities for improvement and programs that support the business’ needs amidst our Smart Working initiative. Develop timelines and change management/implementation plans where necessary to bring consistency to the workplace experience across the Americas portfolio.
o Serve as a guide to the Americas Workplace team for forecasting, planning site specific initiatives and identifying interdependencies between projects.
o Drive other strategic initiatives alongside the Head of Workplace, Americas.
· Financials, budget, and expense management
o Proactively manage reporting and analysis of the Workplace - Americas budget (about $40m annually). Address and resolve issues impacting financial results for the Workplace – Americas team with cross-functional partners.
o Partner with global workplace team and finance department to process rent payments across the whole portfolio (25+ sites), ensure accurate data, report on actuals and prepare budget.
Workplace data stewardship, reporting, and analysis
o Verify all calculations and data regarding usage and consumption of resources (electricity, water, waste, ec.) in line with our climate initiative in the company platform, Climate-ecometrica.
o Maintain up to date reporting on office utilization to ensure our workspaces support our hybrid population in line with our Smart Working initiative.
• Leases, procurement, and vendor management
o Act as a Centre of Excellence for Coupa (Procurement/Expense platform) and drive adoption of the tool. Analyze data to derive insights and propose opportunities to improve procurement, spend, and expense management across the region.
o Regularly review Americas leases and contracts liaising with Partners and Procurement to ensure value, and accurate service delivery.
o Proactively manage and anticipate lease renewals for offices across the Americas. Assemble all relevant data (office utilization, projected growth, team specific space requirements, current run rate and projected expenses) to inform recommendations on moves, additions, renewals or decommissioning, while keeping value and impact top of mind.

We’re looking for someone who has these abilities and skills:
• Bachelor’s Degree is preferred.
• Intermediate to Advanced experience working in workplace management and overseeing operations and projects across multiple sites. A customer first mentality is essential for all aspects of this position.
• Proficiency in Microsoft Excel functions, data analysis and financial concepts including amortization, capital investments, forecasting accruals and expense management.
• Excellent communication and presentation skills with the ability to communicate/present to stakeholders/customers at all levels, including creating effective presentations and executive summaries to provide clarity around complex concepts.
• Understanding of real estate expense and experience in managing landlord relationships.
• A solutions oriented problem solver who is comfortable working in a team environment. Strong interpersonal skills.
• Ability to work from the office 4 days a week

The U.S. pay range for this position is $83.500 – $145,500. Actual pay will be determined based upon the individual’s skills, experience, and location. We strive for market alignment and internal equity with our colleagues’ pay.
