To complete our team, we are looking for a:
Secretary to the Governing Board and to the Conférence des Directeurs - Temporary Replacement (Sick Leave Cover)
Full-time - 40 hours
Responsibilities:
- Provide organizational, managerial, administrative and high-level secretarial support
- Organise and attend meetings, events, workshops, retreats and assemblies
- Draft agendas, prepare papers for the meetings and ensure proper distribution, recording, sharing and archiving
- Take minutes of official proceedings, in English and in French, issue action minutes and a record of decisions
- Manage and coordinate the election process of the elections of Governing Board members
- Compile and prepare information for the Director General's report to the Board
- Make arrangements for the appraisal of the Director General and the self-evaluation of the Governing Board
- Liaise and provide official documents to federal, state and cantonal authorities to meet legal and constitutional obligations in accordance with the Foundation Charter
- Draft and manage the logistics of written communication from and to the Board and its members
- Oversee the coordination of all regulations and policy reviews of the Governing Board and the Conférence des Directeurs
- Main point of contact and main link for communication between the Governing Board and other constituents of the Foundation
Candidate requirements:
- Bilingual in English and French
- Minute taking ability in both languages
- 5 to 10 years of proven experience in a similar position
- Capacity for dealing with complex and sensitive organisational issues
- Excellent interpersonal skills, with all levels of management and staff
- Detail-oriented with ability to ensure integrity of information and workflow processes
- A strong sense of personal responsibility and collaborative work
- Ability to work sometimes outside regular working hours
- High customer service
- Demonstrated success in an international setting
