We are urgently seeking a highly organized and proactive Executive Assistant to cover a sickness leave for a minimum of three months. This is a fantastic opportunity to work in a dynamic and fast-paced environment, supporting senior executives and contributing to the success of our team.

Our client is a leading player in the fast-moving consumer goods (FMCG) industry.

Missions

As an Executive Assistant, you will provide high-level administrative support to our senior executives, ensuring the smooth and efficient operation of their schedules and tasks. This role requires an immediate start and a commitment for a minimum of three months, with the possibility of extension depending on the needs of the business.

Key Responsibilities:

Administrative Support:

  • Manage executive calendars, schedule appointments, and coordinate meetings.
  • Handle travel arrangements, including flights, accommodations, and itineraries.
  • Prepare, process, and track expense reports.

Meeting Coordination:

  • Organize and prepare materials for meetings, including agendas, presentations, and minutes.
  • Ensure meeting rooms and technology setups are ready and functional.
  • Follow up on action items and ensure timely completion.

Communication Management:

  • Act as a point of contact for internal and external stakeholders.
  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Draft and review correspondence, reports, and presentations.

Project Support:

  • Assist in the coordination of projects and initiatives as needed.
  • Maintain project documentation and track progress.
  • Provide logistical support for events and special projects.

Office Management:

  • Maintain office supplies and equipment for the executive team.
  • Assist with the organization of company events and meetings.
  • Ensure smooth day-to-day operations within the executive office.

Profil du candidat

  • Experience:

    • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably within the FMCG industry or a fast-paced environment.
    • Proven track record of supporting senior executives and managing complex schedules and tasks.
  • Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and time management skills.
    • Strong written and verbal communication abilities.
    • Ability to multitask and prioritize effectively under pressure.
    • High level of discretion and confidentiality.
  • Personal Attributes:

    • Ability to work independently and as part of a team.
    • Flexibility and adaptability to changing priorities.
  • Language Skills:

    • Fluency in English and French is required.
